How to keep an ATS CV template readable after editing in Word

Blessing M Digital preview of the Clean Minimal and Modern Professional CV templates, both single-column A4 Word files

When you edit a CV template in Word, the risk is not typos. It is that the things which made the template readable — one column, standard headings, no text boxes — quietly disappear while you type. This guide shows you what to protect while editing, how to check it, and how to confirm the finished file still reads cleanly before you send your 2026 application.

TL;DR
  • Keep the original template file untouched and edit a named copy.
  • Type over the example; never add text boxes, tables or extra columns.
  • After editing, copy all the text and read it top to bottom to check the order.
  • Re-check spacing after any font warning and after you export to PDF.
  • The Blessing M Digital template ships as a single-column A4 Word file.

Why this matters

Screening software reads your CV as plain text, in order, top to bottom. Recruiters skim the same way. A template keeps both readers happy by holding everything in one column with normal headings and no tables or pictures.

Word lets you break that without warning. A pasted table, a new text box, a substituted font — none of it looks broken on your screen, and all of it can change what a reader gets. Nobody can promise that any employer's software will read your CV correctly, but a simple, unbroken layout gives it the best chance.

Blessing M Digital sells its CV template as a single-column A4 Word file (210 × 297 mm, the paper size South Africa prints) with no tables and no text boxes, for exactly this reason. The design holds only if your edits hold it too.

Before you start

  • Microsoft Word on a computer, or the free Google Docs app if you do not have Word.
  • The .docx template file, downloaded from the link emailed to you after payment.
  • The job advert open in front of you, so you edit towards it.

One gotcha catches almost everyone: if the computer you edit on does not have the template's fonts installed, Word swaps them for what it has. The words stay, but spacing moves and headings look different. Check for this before you type anything — the fix is in Troubleshooting below.

Set up a working copy

  1. Open the template file.
  2. Use File > Save As straight away and name the copy for the application, for example CV-Thandi-Mokoena-Cashier.docx.
  3. Close the original file without saving and leave it untouched.

Expected result: two files on your computer — a master you never open again, and a working copy for this application. If an edit goes wrong, you start again from the master instead of buying the template twice.

Edit without breaking the layout

  1. Type your details directly over the example text. The template arrives with example details written in — replace every one of them, including the sample name, email, phone number and job titles.
  2. If you paste text from another document, use Right-click > Paste Options > Keep Text Only. Old formatting rides along otherwise, and it can drag tables and styles into a single-column file.
  3. Do not insert text boxes, tables, columns or shapes. If a line does not fit, shorten the line instead of wrapping it in a box.
  4. Do not press Enter repeatedly to push content onto a new page. Add content or let the page break fall where it falls.

Expected result: the document still runs in one column, every heading where the template put it, with your words in place of the examples.

Check the document after editing

This is the check that matters, and it takes about two minutes:

  1. Click inside the document, press Ctrl+A to select everything, then Ctrl+C to copy.
  2. Open Notepad on Windows or TextEdit in plain-text mode on Mac, and paste (Ctrl+V).
  3. Read the plain text from the top. Check that your name comes first, then contact details, then summary, skills, work experience, education and references — the order a reader expects.
  4. Check nothing merged: your phone number and email on separate lines, dates still next to the right employers, every bullet still starting a new line.
  5. Fix anything that reads out of order back in Word, not in the text file, then run the copy again.

Expected result: the plain-text copy reads in the same order as the page. What you just did is the same idea as the 2-minute check in the Blessing M Digital ATS guide — prove the file survives being read as plain text.

The free checklist called Check before you send runs 35 checks over the whole application — file, wording and contact details — and you can use it on top of this.

Save and send the right file

Send the kind of file the advert asks for. If the advert does not say, send the Word file. Never send a photo of a printed CV.

  1. Save the working copy as .docx when applying with Word.
  2. If the advert asks for a PDF, export the document as a PDF rather than photographing or printing it, then reopen the exported file and read it once more before you send it. Checking the exported file properly is its own short workflow, and skipping it is how renamed, reflowed and half-exported files get sent.
  3. Attach the file you checked — not an older file with a similar name.

Expected result: the file in your email is byte-for-byte the file you just read back.

The same checks in Google Docs

If you edit the template in Google Docs instead of Word, run the same three checks: copy all the text and read the order, confirm nothing merged, and export in the format the advert asks for. Google Docs also substitutes fonts, so look at the page again after exporting. Typing the CV on a phone works the same way, and a phone-specific walkthrough exists if that is where you will do the editing.

Troubleshooting

  • The headings look different after I opened the file on another computer. Word substituted a font it did not have. Re-open the file on the original computer or accept the new font, then re-check the whole layout — spacing moves with the font.
  • The document grew from two pages to three. Check the font size, the page margins, and blank lines added between sections. Remove the blank lines first; they are usually the cause.
  • My bullet points changed how they look. Pasted text brought its own list formatting with it. Paste as text only, then apply the template's list style again.
  • Copied text comes out jumbled or out of order. A text box or table crept in during editing. Delete it and retype that section as plain paragraphs.
  • I cannot find the change I made yesterday. You edited a different copy. Save one working file per application and date the file name if you apply twice to the same employer.

Which file should you be editing?

If you have not bought a template yet, two options cover most people:

Option What you get
South African CV Template One editable A4 CV as a Word file, in your choice of 1 of 2 designs
The South African CV & Job-Search System All 16 files: both CV designs, cover letter, references page, guides, the 35-check checklist and the tracker

Not sure which design? The shop's own guidance: Clean Minimal suits admin, government, finance, banking, customer service, retail, logistics and first jobs; Modern Professional suits marketing, sales, business development, IT support and hospitality.

What to do next

Once the file is right, the next leak is follow-up: a company calls and you cannot remember which job it was. The tracker that comes with the complete system records every job you apply for, with the CV version you sent and the day to message the employer again. If a file ever will not open, email hello@blessingmdigital.co.za — a person replies in one to two business days, and a file that will not open gets your money back.

FAQ

Does editing a CV template in Word break ATS compatibility?

It can, if the edit adds tables, text boxes or columns. Type over the example text and leave the single-column layout alone, and the file stays simple for software to read.

How do I know my CV is still readable after editing?

Select all the text, copy it, paste it into a plain-text editor like Notepad and read it top to bottom. The order and every detail should survive the copy.

Should I send a Word file or a PDF?

Send the kind of file the job advert asks for. If the advert does not say, the Word file is the safer choice.

Why does my CV look different on another computer?

Word substituted a font the computer does not have, which moves spacing and headings. Re-check the whole layout after any font warning.

Can I edit the Blessing M Digital CV template on my phone?

Yes. Open it in the free Google Docs app, type your details over the example, and run the same plain-text check before you send it.

Does a single-column CV guarantee me a job?

No. Nobody can promise an interview or a job. A clean layout helps software and recruiters read what you wrote; the words still have to be true and relevant.

What should I name the file?

Something a recruiter can find later: your name, the word CV, and optionally the role you applied for.

One last thing

No template, including this one, can promise you an interview in 2026 or any other year. What you control is whether the file you send reads the way you think it does. The copy-and-paste check above takes about two minutes, and it is the difference between a CV that reads cleanly everywhere and one that only reads cleanly on your screen.
