ATS CV templates: how to check the saved PDF before applying

Blessing M Digital preview of the Clean Minimal and Modern Professional CV templates, both single-column A4 Word files ready to export as PDF

Checking the exported PDF before you apply takes about two minutes and catches the errors that only exist after export: a file that was renamed, a layout that reflowed onto different pages, an export that stopped halfway, or a summary that still says [Company Name]. Exporting the PDF is not the last step — checking it is. Here is the check, in order, in 2026.

Quick answer
  • Re-open the exported PDF itself, not the file you exported from.
  • Confirm the advert's file type, page count and file name.
  • Read every page: nothing cut off, nothing still showing example text.
  • Copy the text out of the PDF and read the order back.
  • Attach the checked PDF to the email or portal, then confirm it.

Why this matters

Everything that goes wrong at the last step happens after you press export. Word shows your document; the employer gets the PDF you attached. They are two different files, and the difference between them is where applications die in 2026: a PDF saved as CV-final-final2, a document that reflowed to five pages because the receiving computer did not have your font, an export that captured page 1 and stopped.

A PDF has one job — show exactly the same page everywhere. When it is checked properly, it does. That is also what makes it safe to send when a job advert asks for a PDF: the layout you checked is the layout they see. Nobody can promise what any employer's software will do with your file, but a checked PDF is the version you actually approved.

Blessing M Digital's template ships as a Word file (.docx) on an A4 page for exactly this reason: you edit the Word file, you export a PDF only when the advert asks for one, and the exported copy gets its own check before it leaves your phone or computer.

Before you start

  • The advert, open in front of you, so you know which file type it asks for.
  • Your finished CV document, saved and closed in Word or Google Docs.
  • A PDF reader already on your device: a browser, Adobe Reader, or the phone's own viewer.
  • Two spare minutes. The check is short, but it needs your eyes on the exported file itself.

One gotcha: checking the Word file instead of the PDF. You have been staring at the document for an hour, so it feels like the thing to re-read. But the PDF is a separate file that can fail on its own — page count, fonts, text order, even whether the export finished. Re-open the PDF.

Step 1: Export the PDF from the finished document

  1. In Word, use File > Save As or File > Export and choose PDF. In Google Docs, use Share & export > Download and choose PDF.
  2. Name the file before you export: your name and CV, for example Thandi-Mokoena-CV.pdf.
  3. Export it once. Do not keep a second copy with a near-identical name — one file, one name, no confusion later.

Expected result: one PDF file in your Downloads or Files folder, carrying a name a recruiter can find.

Step 2: Open the PDF itself and check the pages

  1. Open the PDF you just exported — the new file, not the Word document behind it.
  2. Check the page count. A CV is normally 2 pages (one for a school leaver, three for a senior role). If it grew or shrank at export, go back and find out why before you send it.
  3. Read every page once. Look for text cut off at a page edge, a heading stranded at the bottom of a page, or a page that is half empty.
  4. Check the fonts. If a heading looks different from how it looked in Word, the export substituted a font — re-check the whole layout, because spacing moves with it.

Expected result: the right number of pages, all text visible, headings looking the way you left them.

Step 3: Check the text inside the PDF

  1. In the PDF, select all the text and copy it.
  2. Paste it into Notepad (Windows), TextEdit in plain-text mode (Mac), or a blank note on your phone.
  3. Read it from the top: your name, then contact details, then summary, skills, work experience, education and references.
  4. Check nothing merged: your phone number on its own line, dates still next to the right employer, every bullet starting a new line.
  5. Check for leftovers: the template's example details such as a sample name or "National Senior Certificate (Matric)" still in there, or words in [square brackets] you never replaced. The free checklist called Check before you send catches forgotten brackets like these across the whole application — its check 1 finds every [Company Name] in seconds.

Expected result: the plain-text copy reads in the same order as the page, with every example replaced. This is the same 2-minute check from the Blessing M Digital ATS guide — the PDF check adds the export-specific steps on top of it.

Step 4: Attach the right file and confirm it went

  1. In your email or the job portal, attach the PDF you just checked. Not a similar file from last month — the one you opened and read.
  2. If the portal shows a preview, look at it. Check page 1 at minimum.
  3. Send, then confirm: if the portal lists your attachments, check the name and size match the file you checked. If you applied by email and you get no delivery confirmation, that is normal for email — note the time you sent it instead.
  4. Write the application down — the company, the date, which CV version you sent — so a call-back next week finds the answer. The tracker that comes with the complete system does this in one row per job.

Expected result: the exact file you checked is attached, and you have a record of what you sent.

The same check after a phone export

Exporting from the Google Docs app on a phone saves the PDF to your Downloads or Files folder, and the check is the same: open the exported file from there, count the pages, read every page, copy the text out and read the order back. Phones substitute fonts more often than computers, so look at the headings once before you attach. The full phone walkthrough covers opening, editing and sending from the Google Docs app step by step.

Troubleshooting

  • The PDF has more pages than the document did. A font got substituted at export, moving text onto new pages. Re-export from the computer that has the font, or accept the new layout after reading every page again.
  • The PDF will not open on my phone. Try opening it in your browser first. If it still will not open, the export may have stopped halfway — export again from the original document.
  • The text copies out jumbled or in the wrong order. The export used an image or broke the text layout. Export again, and if it still copies badly, send the Word file instead when the advert allows it.
  • I found example details still in the PDF. They were still in the document when you exported. Fix the document, export again, and run the check again — never edit the PDF itself.
  • I attached the wrong file. If the portal allows re-uploading, replace it. If you applied by email, send a short follow-up with the correct file attached and say which one replaces which.

What to do next

The exported PDF is checked and attached. The last gap is memory: which company was this, and when do you follow up? The tracker in the complete system writes each application down in one row, with the day to message the employer again. If a file will not open after you have paid for it, email hello@blessingmdigital.co.za — a person replies in one to two business days, and a file that will not open gets your money back.

FAQ

How do I check a PDF before sending a job application?

Re-open the exported PDF itself, check the page count and every page, then copy all its text into a plain-text editor and read the order back. Two minutes covers it.

Should I send my CV as a PDF or a Word file?

Send the kind of file the job advert asks for. If the advert does not say, the Word file is the safer choice.

Why does my PDF have more pages than my document?

A font was substituted during the export, which moved text onto new pages. Re-export from a computer that has the font, then read every page again.

How do I know the PDF export worked correctly?

Open the exported file, not the document you exported from, and read every page. An export that stopped halfway leaves later pages missing.

Can ATS read PDF CVs?

Software differs at each company and nobody can promise what it will read. A single-column PDF with standard headings and selectable text gives it the best chance.

How do I check the text order inside a PDF?

Select all the text in the PDF, copy it, paste it into Notepad or a notes app and read it top to bottom. The order should match the page.

What if I attached the wrong file to an application?

Re-upload on the portal if it allows it. By email, send a short follow-up with the correct file and say which one replaces which.

One last thing

A PDF export is a file conversion, and conversions fail quietly: the page you see in Word is not the page the employer receives. Opening the exported file and reading it back takes two minutes, and in 2026 it is still the only way to know what you actually sent.
