A reference check is often the last step before an offer. It is also the step most applicants prepare for least, and the one most likely to be quietly failed.
How many references should a South African CV have?
Two to three referees is standard in South Africa. Each entry should carry the person's full name, their job title, the company, their relationship to you, and one contact method. Most employers will contact one or two of them, usually only after an interview has gone well.
South African applications commonly expect references as part of the pack, more so than in some other markets. Many adverts ask for them up front, and many application forms have fields for them.
Who to ask
In rough order of usefulness to an employer:
- Your most recent direct manager. The strongest reference, because they supervised your actual work.
- A previous manager from a role relevant to the one you are applying for.
- A senior colleague or team lead who worked with you closely, if a manager is unreachable.
- A lecturer, supervisor or placement mentor, if you are a graduate or school leaver without employment history.
- A client or supplier you dealt with regularly, for freelance and self-employed work.
Family members are not references. Friends who never worked with you are not references either, and experienced recruiters spot both quickly.
What each entry should contain
Operations Manager, Retail Solutions (Pty) Ltd
My direct manager, March 2023 to August 2026
082 000 0000 · nomsa.dlamini@example.co.za
The relationship line is the part most people leave out, and it is the part that tells the employer how much weight to give the reference. "My direct manager" and "a colleague in another department" are very different signals.
Should you write "references available on request"?
Yes, on the copy you send widely. It saves space and, more importantly, it stops you publishing other people's phone numbers on a document you email to strangers. Prepare the full list as a separate page and send it the moment it is asked for, so there is no delay.
The exception is when the advert or application form explicitly asks for referees up front. Follow the advert. An application that ignores a stated instruction is an easy one to set aside.
Why a separate references page works better
- It keeps your CV to the length you want it.
- It protects your referees' details until there is a real reason to share them.
- It matches how many South African applications are structured anyway.
- It lets you tailor which referees you send for which role.
Warn your referees. Every time.
Tell each referee before you list them, and tell them again when you know a call is coming. A referee caught unprepared gives a vague answer, and a vague answer reads as a bad reference even when the person likes you.
A short message is enough. Tell them the role, the company, and the one or two things you would like them to be able to speak to. You are not scripting them. You are making sure they are not answering cold.
What your referee is likely to be asked
- Confirmation of your job title and the dates you worked there.
- What your actual responsibilities were.
- Whether your reason for leaving matches what you said.
- Attendance and reliability.
- Whether they would re-employ you.
Notice how much of that is verification rather than praise. This is the reason the dates and job titles on your CV need to be accurate. A reference check that contradicts your CV is a much bigger problem than a modest reference.
Common questions
What if I left my last job on bad terms?
Use a different referee from that same period if you can, such as a team lead or a manager in another department. Do not list someone you know will be negative and hope they are not called.
What if my referee has left the company?
That is fine. List them with their current contact details and note the company where you worked together. A person is the reference, not the switchboard.
I am a school leaver with no work history. Who do I list?
A teacher, a sports coach, a community or church leader who supervised you in something, or a manager from holiday or part-time work. Someone who can speak to reliability and attitude is genuinely useful when nobody can speak to experience yet.
Can I just make one up?
No. Reference checks are verification steps, and a fabricated referee is the kind of thing that ends an offer and follows you around an industry.
